Convert Westpac Statement PDF to Excel for Tax Season

James Park··5 min read

Investors have the messiest tax paperwork of anyone: buys and sells scattered across months, dividends with franking credits, interest, fees — and the ATO wants every dollar accounted for. When you convert Westpac statement PDF to Excel, your cash account becomes the single source of truth for your investing year: every settlement, every dividend, every fee in one sortable ledger. This guide shows Westpac customers how to build an investor tax workbook from their statements: downloading the right PDFs, converting in a batch, tracking cost bases and dividends, and reconciling the final numbers before your return goes in.

Why investors need their own statement workflow

Your broker sends contract notes, but your Westpac cash account is where the money actually moved — and it is the record that ties everything together. Capital gains tax needs purchase and sale dates, proceeds, and cost base per parcel; dividend income needs payment dates and franking credits; deductible costs need dates and amounts. PDFs hold all of this but yield none of it: you cannot filter a PDF for "all dividend payments in 2026" or sum "total brokerage fees." A spreadsheet makes each of those a one-line operation. The second reason is reconciliation: your broker's annual tax statement should agree with your cash account, and a spreadsheet lets you prove it line by line instead of hoping. The general method is covered in our PDF-to-Excel conversion guide.

Step 1: Download your Westpac statements for the year

  1. Log in to Westpac online banking and open the cash account linked to your brokerage.
  2. Under Statements, download all twelve months of the financial year as PDFs — the official statements with opening and closing balances.
  3. If dividends land in a different Westpac account, download that too; income split across accounts is the classic way dividends get missed.
  4. Grab your broker's annual tax/dividend statements alongside the bank PDFs — you will reconcile the two in Step 4.
  5. Name files clearly: westpac-invest-2025-07.pdf keeps a July-to-June batch sortable.

Westpac keeps multiple years of statements online, so assembling the full year is straightforward. More Westpac specifics are on our Westpac bank page.

Step 2: Convert the PDFs into one investing ledger

Upload each Westpac PDF to Convert Statement in your browser — no install, seconds per file — and download the Excel version. Then merge all twelve months into one continuous sheet. Three checks make the merge trustworthy: row counts should match a year of investing activity, dates should run the full financial year with no gaps, and the closing balance must equal the June PDF's closing balance. If your tax agent imports into software, keep a CSV copy too — the CSV format guide explains what import tools expect. Most monthly Westpac statements convert within the free tier.

Step 3: Track parcels, dividends, and deductible costs

This is where the investor workbook earns its keep. Add columns beyond the basics:

  • Event type: Buy, Sell, Dividend, Interest, Fee, Transfer. Filtering by event type is how you pull every sale for the CGT schedule in seconds.
  • Security and parcel: note the stock/ETF and which parcel a sale came from. Australia's CGT discount (assets held over 12 months) depends on parcel-level dates, so record the purchase date against each sale.
  • Cost base adjustments: brokerage on buys adds to cost base; brokerage on sells reduces proceeds. Tag fees clearly so your agent applies them correctly.
  • Dividends and franking: tag every dividend with its payment date and franking credit amount. Missed franking credits are missed tax offsets.
  • Transfers: money moving between your own accounts is neither income nor expense — tag it so it never pollutes the totals.

Sort by Event type = Sell and you have your disposal list; filter Dividend and you have the dividend schedule. Expand Westpac's truncated descriptions into security names while the year is fresh — "BPAY 847291" means nothing in twelve months. Our reconciliation guide shows the verification routine before the workbook goes to your agent.

Step 4: Reconcile against your broker before filing

Cross-check the workbook against your broker's annual statements: every buy and sell in the broker record should have a matching cash movement in Westpac, and every dividend the broker reports should appear in the ledger. Investigate mismatches now — a missing dividend payment or an unmatched settlement is a filing error waiting to happen. Then send the workbook through your tax agent's secure portal, never plain email: a year of investing data deserves the handling in our data-security best practices. Include the original PDFs and a cover note listing the accounts and any corporate actions (splits, buybacks, DRP participation) that affect cost bases.

Frequently asked questions

Do I report every buy and sell, or just the net gain?

Your agent needs every disposal with dates, proceeds, and cost base — the workbook's Event type filter produces exactly that list. Buys matter too, because they establish the cost base of what you still hold.

What about the CGT discount for assets held over 12 months?

Record the purchase date on each sale row. Assets held more than 12 months generally qualify for the 50% CGT discount for individuals — your agent applies it, but only if the dates are in the data.

Can I deduct brokerage fees?

Brokerage on purchases forms part of the cost base; brokerage on sales reduces capital proceeds. Either way it lowers your taxable gain — which is why every fee needs tagging in the workbook.

What if a dividend never arrived in my Westpac account?

That is exactly what the broker cross-check catches. Chase it with the share registry before filing — unclaimed dividends are common and fixable, but only if you notice.
